Are you drowning in digital chaos? If you’re like most people, your Evernote account probably looks like a tornado hit it. Thousands of scattered notes, random notebooks, and the constant feeling that important information is lost somewhere in the mess.
Here’s the good news: you don’t need to delete everything and start over. With the right system, you can transform your digital disaster into an organized powerhouse.
The Magic of Digital Organization
Digital information is both a blessing and a curse. It’s incredibly easy to save everything, but finding what you need becomes a nightmare. However, when your digital notes are well organized, something magical happens. You experience what I call “digital serendipity.”
Think of it like going to the library. You’re looking for a specific chess book, so you find the exact call number and head to that shelf. You grab your book, but then you notice all the other chess books surrounding it…books you never knew existed. That’s the serendipity of organization.
When your Evernote organization is solid, you’ll find what you’re looking for AND discover related information you’d forgotten you even had.
Your 5-Step Evernote Organization System
Step 1: Create Your Staging Area
Don’t panic—we’re not burning anything down. Instead, create a new notebook called “Organize.” This will be your staging area for the entire process.
Now, move every single note from your chaotic system into this one notebook. Yes, all of them. Here’s how to do it efficiently:
- Click the first note in a notebook
- Hold the SHIFT key and click a note about 100 spots down
- Use the blue menu that appears to move all selected notes to your “Organize” notebook
- Repeat until that notebook is empty
If you have 14,000 notes, this will take time, but it’s simple rinse-and-repeat work you can do while watching TV.
Step 2: Clean House
Once you’ve moved all your notes, delete those empty notebooks—at least the ones you want to get rid of. Do the same for any junk tags. Don’t worry; deleting tags won’t delete your notes.
Step 3: Build Your New Architecture
Here’s the system that’s served me well for years:
Essential Notebooks:
- “.Inbox” (the dot sorts it to the top of your list)
- “/Current_Projects” stack (for active work in progress)
- Individual notebooks for reference materials
- “zCompleted_Projects” stack (for finished work)
- “Miscellaneous” notebook (temporary holding spot)
The forward slash and “z” are strategic. They control where these items appear in your sorted list.
Step 4: Process Your Notes Gradually
Now comes the ongoing work. When you have time, work through your “Organize” notebook:
- Delete notes that are trash
- Clean up notes you want to keep but need editing
- Move good notes to their proper homes in your new system
Don’t stress about doing this all at once. During this transition, Evernote’s search function will still help you find what you need.
Step 5: Maintain Your System
The secret to keeping your system organized is your inbox. Everything new goes there first. Then, later in the day:
- Clean up the information
- Add needed tags
- Move notes to their proper notebooks
As you work with your new setup, you’ll create notes and wonder where they belong. Put them in “Miscellaneous” for now. As you refine your system, go back and move these notes to their proper homes. Soon, you can delete the “Miscellaneous” notebook entirely.
Keep Your System Running Smoothly
Your digital notes should be your best friend, not your worst enemy. The key is consistency with your inbox process. When everything new has a designated entry point, your system stays clean and functional.
Remember, organization isn’t about perfection—it’s about creating a system that works for you and sticking with it.
Take Action Today
Don’t let digital clutter continue to slow you down. Start by creating that “Organize” notebook right now, while you’re thinking about it. Your future self will thank you.
